Onsite badge printing & registration for trade shows

Running a trade show means thousands of attendees arriving in the same 30 minutes. When the badge desk stalls, the whole floor feels it. Holon keeps your entrance moving, with high-speed onsite printing, self-service check-in and exhibitor lead retrieval built for events of 80,000+ attendees. We handle the hardware, connectivity and onsite crew, so your team can focus on the show floor.

Keep your busiest 30 minutes moving

The busiest part of a trade show is often the first 30 minutes. Hundreds or thousands of attendees may arrive at once, while exhibitors and organisers need the entrance to keep moving. Holon helps you prepare for this peak with the right combination of staffed registration desks and self-service badge printing kiosks. Attendees can scan their ticket, retrieve their registration details and receive their badge within seconds. We calculate the required setup based on your expected arrival pattern, not just the total number of attendees. This helps prevent unnecessary queues while keeping your onsite setup efficient.

Help your exhibitors prove their ROI

A trade show is not only about getting people through the entrance. Exhibitors need to know who visited their stand and which contacts are worth following up with. Holon supports lead retrieval with scanners and QR or barcode-enabled badges. Exhibitors can scan attendee badges directly at their stands and collect the information they need for follow-up. The result is a connected event experience where registration, badge printing and lead retrieval work together. Organisers gain better visibility into attendee activity while exhibitors can measure the value of their participation.

Frequently asked questions about trade show badge printing

How many badge printers do I need for my trade show?
The required number depends mainly on your busiest arrival period rather than your total number of attendees. As a general guideline, one printer or kiosk can handle around 100 to 150 check-ins per hour, depending on the setup and badge type. We calculate the right combination of staffed desks and self-service kiosks based on your expected peak flow.
Which printer is best for trade show badges?
Zebra thermal printers are a strong choice when speed and high-volume printing are the main priorities. Epson TM-C3500 and CW4000 printers are ideal when you want premium full-color badges. We recommend the right setup based on attendee volume, badge design and event duration.
Can attendees check themselves in?
Yes. Self-service kiosks allow attendees to scan their ticket and print their own badge. This reduces queues during peak arrival periods and allows your registration team to focus on attendees who need assistance. Holon provides both free-standing and tabletop kiosk solutions.
Does it integrate with our registration platform?
Yes. Holon is platform-independent and supports more than 30 registration platforms, including Cvent, Swoogo, CredsNow, Stova, Bizzabo and Eventbrite. Badges can be printed directly from live registration data, allowing walk-ins, corrections and last-minute changes to be handled onsite.
Can our exhibitors capture leads?
Yes. We provide lead retrieval scanners and badges with scannable QR codes or barcodes. Exhibitors can use these to capture attendee information at their stands and measure the results of their participation.
What if the venue WiFi is unreliable?
We can provide dedicated connectivity for your registration setup. Depending on the location and requirements, this can include 4G connectivity or satellite internet. This helps keep registration and badge printing operational even when the venue network is unreliable.
Do you deliver and set up on site?
Yes. Holon can deliver pre-configured hardware, complete the onsite setup and provide operational support during the event. After the event, we will also handle breakdown and collection. Our logistical hubs in Utrecht, Valencia, Mumbai and Dallas support events across multiple regions.
